JOB TITLE:                            Intake Officer

REPORTS TO:                     Director of Domestic Relations Office

LOCATION:                         Snyder County Courthouse, 3rd Floor

TERMS:                                 Full-time non-exempt

HOURS:                                75 hours biweekly

8:00am – 4:00pm Monday through Friday

 

About the County:         

The Government of Snyder County exists in order to assist, either directly or indirectly, all citizens of the County.  All County personnel are expected to be dedicated to helping the public and to showing respect to all individuals served. The administration of all County Government functions is to be done professionally and without prejudice or bias.7

 

General Definition:

 

The purpose of this position is to prepare or complete various forms, correspondence, employer questionnaires, addresses, prison verifications, intake information, medical reimbursement, reviewing court orders, transferring orders, or other documents.

 

Responsibilities:

  • Process applications for support; receive and review applications; gather and verify information, such as identification, employment data, financial data, previous support orders, addresses, etc.; create and maintain documentation related to all work activities.
  • Data entry to create online case files to generate complaints and petitions.
  • Identify welfare and paternity cases.
  • Research incoming and outgoing transfer cases.
  • Communicate in a professional manner with clients, attorneys, DGS, and other agencies.
  • Process and monitor Intra-state and Interstate cases.
  • Manage a case load including medical submissions.
  • Ability to effectively handle a large caseload and respond in a timely manner.
  • Must have strong organizational skills and a close attention to detail.
  • Ability to resolve difficult case situations through conflict resolution.
  • Ability to handle stressful situations and maintain good mental health.
  • Ability to work independently and prioritize caseload.
  • Ability to provide court testimony if called to do so.
  • Ability to define problems, collect data, establish face, and draw valid conclusions.

 

Requirements:

  • Attend meetings and trainings as required.
  • Back up other positions as needed.
  • Perform other job related duties as required.
  • Attend and complete PACSES/PASCETTI trainings.

 

Physical Requirements:

  • Ability to operate a variety of office equipment including computer, calculators, photocopier, telephone, printers, scanner, shredders, etc.

 

Mental Requirements:

  • Must be able to cope with the physical, mental, and emotional stress of the job.
  • Must be able to pay close attention to details and concentrate on work.
  • Position requires extensive stressful interaction with people.

 

Mathematical Ability:

  • Must possess ability to perform math calculations and prepare various reports and financial documents.

 

Language Ability and Interpersonal Communications:

  • Ability to comprehend and interpret PA State Child Support and Spousal Support Rules and Regulations, PA Rules of Civil Procedure and case law.
  • Ability to communicate effectively, both verbally and in writing, with clients, Attorneys, Domestic Relations staff, Court Personnel, Children and Youth staff, Probation staff, Prison personnel, Chief Clerk and County Commissioners.
  • Ability to prepare a variety of documents including Court Orders and letters and other correspondence using prescribed format and conforming to all rules of punctuation, grammar, diction, and style.
  • Must possess ability to function independently, have flexibility, personal integrity, and the ability to work effectively with clients, co-workers, and others.
  • Must possess ability to maintain confidentiality in regards to client information and records.
  • Must possess ability to effectively interact with clients, co-workers, families, employees and others.

 

Environmental Adaptability:

  • Ability to work effectively in a fast paced, busy office environment.
  • Must be able to work daily with volatile and potentially hostile and/or aggressive clients.

 

Minimum Training and Experience:

  • High School Diploma or GED; supplemented by three years of administrative, clerical, or customer service experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills and abilities for this job.
